LEGAL SECRETARY / PRIVATE CLIENT

Nottingham

We are currently recruiting for an experienced Legal Secretary to join the Private Client team at our Nottingham office.

The role will involve working with lengthy and complex documents, producing letters, emails and other correspondence, assisting with the maintenance of transaction files and handling client and third party enquiries.

Principle Accountabilities

  • Audio typing via digital dictation system of letters, correspondence, leases, land registry transfers, contracts, licenses, tenancies and attendance notes.
  • Copy typing draft to finished items.
  • Preparing official forms for searches and applications to the Land Registry.
  • Carrying out on-line pre-contract searches
  • Scheduling deeds and requesting receipt upon dispatch
  • Answering external calls to fee earners and assisting with client enquiries if possible.
  • Sorting incoming post, processing incoming cheques and acknowledgments.
  • Undertake a range of other activities to support the wider marketing of the firm including supporting events.
  • Maintaining diary and brought forward system to ensure clients / matters are reviewed and to act as a reminder to the Solicitors.
  • Photocopying, faxing and scanning documents as and when required.
  • Maintaining diary and arranging appointments, meetings and lunches as required.
  • Preparing draft bills, including disbursements from billing guides. Preparing relevant forms for accounts including payment requests, etc.
  • File closures
  • Arranging Travel/ Accommodation
  • Any other duties required to ensure the smooth running of the Team.

Candidates must possess previous experience in a similar role, accurate typing skills and have excellent attention to detail. The ideal applicant will also have the ability to work under pressure using their own initiative.

PART-TIME LEGAL SECRETARY

Nottingham

We are currently recruiting for an experienced Legal Secretary to join our Commercial Property team in Nottingham on a Part Time basis.

The successful candidate will provide secretarial and administrative support to a number of fee earners within a busy Commercial Property team.

The role will involve working with large documents (including formatting), assisting with billing and dealing with clients. Candidates must possess previous relevant experience (preferably within Commercial Property); accurate typing skills and the ability to use a digital dictation system.

We are seeking someone who has a strong attention to detail, excellent communication skills, with the ability to use their own initiative and work within tight deadlines. This role is 3 days per week. Days of work can be discussed at interview.

PR & Communications Administrator

Nottingham/Derby/Cardiff

Geldards LLP is a leading Regional Commercial Law Firm with offices in Nottingham, Derby and Cardiff. We are seeking to recruit a PR & Communications Administrator within the Business Development and Marketing Team in our East Midlands Offices.

As PR & Communications Administrator you will be responsible for the day to day development and distribution of external and internal communications including press releases, intranet and supporting digital content.

Although based in the East Midlands, the role will cover all of the Geldards offices in England and Wales meaning the successful candidate will have to build and maintain a high profile across all offices and build strong relationships to ensure a proactive approach to content generation is developed.

Requirements

  • A PR executive with experience of developing and delivering a range of content including press releases and internal communications.
  • Strong attention to detail with excellent written English capability.
  • Confident communicator with the ability to build and maintain strong relationships with a range of internal and external stakeholders.
  • IT literate with experience of MS applications, web and social media channels.
  • Wider experience in marketing activity would be desirable.
  • Self-motivated, eager to develop, team-player.

FACILITIES SERVICES MANAGER

Nottingham/Derby

An exciting opportunity has arisen for a dynamic Facilities Manager to join us in the East Midlands. Flexibility is important as the position will cover our Derby, Nottingham and Ilkeston offices.

Duties Include:

  • Management of three midlands operational facilities teams and receptions. This includes new appointments, staff performance appraisals and attendance management.
  • Activities relating to mail into and out of the firm. Includes Royal Mail, DX, couriers, website email, faxes and other means.
  • Photocopying services for the firm as required by solicitors and secretaries.
  • Delivery of exceptional hospitality and other services by the Facilities teams for solicitor and client meetings, seminars, and other conferences as required by the firm. This includes room booking, provision of appropriate equipment, refreshments and cleaning. Establish and maintain appropriate procurement of catering supplies. Liaise with other departments such as marketing for the efficient implementation of events.
  • The management of incoming payment cheques, petty cash, and cheque production for outgoing payments.
  • Administrative systems for security access cards, car park barrier cards, car park season tickets, workplace parking levy, site car parking, meeting room bookings, meeting room telephone lists.
  • Procurement of general and branded stationery for the firm. Includes the resourcing, maintenance and servicing of office equipment such as photocopiers and binders.
  • The management and delivery of the archiving of solicitor records

Applicants for this position should be focused on providing excellent customer service, and have a methodical and organised approach with the ability to work under pressure. Excellent communication and customer service skills are essential. Experience of working in a Facilities Management position would be advantageous.
